Guests and users will have to register before coming to GSI / FAIR.

Exceptions:

  1. Visitors of public events( Access for visitors)
  2. Participants of events organized at GSI/FAIR
  3. Internships (Praktika) without third-party funding, please contact Human Resources
  4. Apprentices / Trainees with a contract from GSI/FAIR
  5. People working for companies hired by GSI/FAIR (Fremdmitarbeiter)
  6. GSI Scholarships (Stipends); their point of contact is the International Cooperation Office
  7. Guests paid from GSI, i.e. that are on GSI payroll; their point of contact is the Human Resources Department.

Guests should register and upload the GSI / FAIR Home Institution or Self Declaration (and necessary documents). The  Local Contact Person will check/complete and approve details in the online registration system.

There are 2 types of Local Contact Persons (LCP)

Role of the Local Contact Person:

  • Responsibility for the guest/user before and during their stay as well as when leaving GSI/FAIR
  • Verification of Home Institute and data given by guests/users  
  • Provision of needed safety instructions, IT accounts, keys, etc.
  • Counterpart for Welcome Office and other GSI/FAIR departments
  • Contact persons will be listed in the online registration form incl. their department (visible outside GSI/FAIR)

    Becoming a Local Contact Person (department):

    If you are a department head, please write an email to welcome-office(at)gsi.de including:

    • Name of the department - choose from the Organisation Unit List.
    • If applicable, please propose deputies and secretaries/people to be informed (in cc) in your department.

    If you are a NOT a department head, please send your request to:

    How to approve a guest stay in GATE

    If you have been selected as Local Contact Person and have received an email. Here is some help on how to approve a guest stay in GATE.

    To be able to look at the guest overview in GATE you will need to log in with your Weblogin.

    If you (and others in your department) would like to have more detailed information on the registration process and other Welcome Office services, please send an email to welcome-office(at)gsi.de.

    Beamtime LCP

    • In most cases: The Link Scientist is also the LCP
    • If not: Another LCP needs to be appointed by the Link Scientist
    • It is possible to add an LCP-deputy by email to gate-user-office@gsi.de (will also receive emails)
    • Occasional delegation: The LCP forwards the LCP task for that occasion

      Approving a stay of an experimentalist

      The LCP is asked for approval after these steps:

      1. GATE Users are added to an Experimental Team in GATE.
      2. The Responsible Experimentalist closes/fixes the team list.
      3. Then:
        1. Experimentalists are requested to complete any missing documentation.
        2. LCP is requested to approve the stay of the experimentalists.

      Link Scientist

      • Assigned to: A specific experiment/proposal. Is to be contacted on issues related to proposals/experiment execution
      • Duties:
        • Advises on proposal preparation (technical aspects, especially regarding the target station).
        • Seeks technical info from in-house resources if needed.
        • Checks technical feasibility for the target station.
        • Adds the number of beam shifts for the setup.
        • Answers questions about execution of the experiment, including radiation protection.
        • Can be changed before a beam time if necessary.
        • Name appears in proposal PDF (visible to PAC and relevant staff).
        • Can also be the LCP.

      Local Contact Person (LCP)

      • Assigned to: an external person visiting campus (external user or guest). Is to be contacted on issues related to the stay of external users on campus.
      • Duties:
        • Approves access for external persons.
        • Responsible for the visitor during their stay and upon departure.
        • Advises on in-house processes (safety, IT account, keys, etc.).
        • Checks HID and personal data.
        • Can be the line manager in INSTRUCT and assign safety instructions.
        • Acts as contact for WEO and other departments regarding the external user.
        • Name is visible to the visitor in the online registration form.
        • Can also be the Link Scientist.
