This document guides newcomers who are arriving at CRYRING@ESR with general instruction in easy to follow steps through all formalities to get access to the GSI campus and the cave area.

External visitors

Before traveling to GSI, please contact the  Welcome Office and register yourself, organize access to the campus and find support for all matters related to your stay.

Safety regulations

The CRYRING@ESR cave is a controlled area of GSI and access depends on a couple of conditions defined by the radiation protection department. In particular, in order to safely work in and around the CRYRING@ESR experimental area you need to complete a annual medical examination, to have a official personal dosimeter, and to complete the following online instructions:

  • General safety instruction
  • General radiation protection instruction
  • Instructions for access to the AEBs (Enclosed Electrical Operating Areas)
  • CRYRING-Instruction
  • General laser safety instructions (if necessary)

GSI employees can find these courses along with the other online safety instructions. If they are not listed, please ask your supervisor to assign them to you.

External visitors can access all the available courses here.

Working in CRYRING

In case you want to work at CRYRING@ESR and install, test, alter or remove equipment, you have to fill an application for a work permit. This application has to be forwarded to the responsable safety officer (STV, F. Herfurth, deputy M. Lestinsky) for approval. The safety officer will decide wich areas and equipment have to be set into a safe mode and which additional measures have to be taken for safe working. Only works related to active and approved permits are allowed.

From the list of all available forms by the GSI safety department, you will need either the general work permit form F 9 (pdf), for hot work like welding, grindung etc. the form F 18 (pdf, doc). If the work is carried out by an external company it requires the form F 17 (which has an online form available here).

Installing equipment in the CRYRING@ESR cave

Preparation of the equipment for delivery at GSI/FAIR.

Before the equipment can be accepted for installation at GSI/FAIR it needs the written approval of the GSI/FAIR machine coordinator and the safety responsible  Frank Herfurth (deputy: Michael Lestinsky)

The approval can be obtained on the basis of some written documentation. The requested minimum information contains:

  1. Drawings: a 3D -model of the component (STEP or CATIA V5) and the engineering drawings (PDF) including a list of all important parts (PDF).
  2. Technical specifications containing a description of the components, their functionalities, and any specificity needed to be known for the installation/operation and a list of the needed local infrastructure.
  3. A USER Manual
  4. A Declaration of Conformity to EU regulation 765/2008 ('CE marking')
  5. A Risks Assessment for the installation /operation of the component.

If the component contains very special parts or materials, additional information about these could be asked for by the GSI/FAIR safety officer. Therefore, save this information during the design/construction of the component.

Everything that is bought in the EU has to have most of these documents supplied by the manufacturer. Anything that has been built by you needs those documents to be prepared by you.

Transport and installation

Before the equipment can be transported to GSI/FAIR into the cave and installed, following steps must be done:

  • Announce the exact date and content of the transport to the GSI contact person at least 2 weeks in advance. If the transportation is made by a specialized carrier, he also must contact the GSI and announce the exact arrival date and time.
  • By delivery, the parcel will be checked for possible transport damages and a memo for the delivery at GSI/ Fair will be produced and signed by the local contact person / SPARC coordinator and the component owner
  • Information for the safe handling and transportation inside the campus (size and weight of the parcel, if it is sensitive to vibration, humidity, temperature differences, can be moved by crane or by fork lift, etc.).

All documents need to be made available to GSI/FAIR in electronic format at least 4 weeks prior to transport and installation. The documents should be sent by e-mail to both, Michael Lestinsky (Subproject Leader CRYRING Experiments) and Angela Braeuning-Demian (SPARC coordinator).

GSI/FAIR, cannot accept equipment for installation without the described minimum documentation.
