Regulation on compulsory information in business e-mails (For the commentary)

General e-mail signature GSI:
Must be attached to each outgoing e-mail and is automatically renewed from Outlook. If this signatureis not immediatly renewed feel free to contact the help desk.

For Outlook users the general signature is maintained centrally an will be included automatically via registry key when logging in into Windows.


Personalisation of an e-mail signature
The general signature (gsi_signatur.*) can be edited, i.e. you can prepend your own data (as indicated below). Please note that, if the official signature changes again (e.g. change in management, etc.) your signature will be overwritten, and a backup copy of your old signature will be created.

In Outlook, you can edit the signature as follows: Tools → Options → Register Mail Format → Signatur

Default: Personal data
If there are no data to default options (e.g. "mobil" for a mobile phone number) or if you don't want to share some data leave these fields blank. In this case, make no "return" but delete the line completely! Be sure to stick to all the given gaps and spaces.

The two lines "--" border your signature from the main text and comply with the general convetions for an e-mail boilerplate. Instead of the 'xxx' please enter your extensions and under "F.Surname@gsi.de" there is room for your business e-mail address.

  • Outlook:
    Save the data under"E:\Documents and Settings\USERNAME\Application Data\Microsoft\Signatures" then go to Outlook under Tools, Options, Mail Format, Signature for editing.

  • Outlook Web Access:
    Under Options, Messaging Options: "Automatically include my signature on outgoing messages", you must create a new signature.

  • Thunderbird:
    Under Tools, Account Settings, "Attach this signature". Here you can choose between *.txt and *.htm.




Regulation on compulsory information in business e-mails
  • Electronic mail is becoming increasingly significant as a form of business correspondance. In January 2007 a new law concerning electronic commercial registration came into effect, making certain information in the e-mail signature compulsory.
  • This applies to e-mails such as invoices, offers, orders, order acknowledgements, contract negotiations, etc.
  • In the case of a limited liability company, particulars such as legal form, registered office, commercial register, commercial register number, all managing directors and the supervisory board chair must be included.
  • Although this regulation is not new in principal, it is now compulsory. A breach of this law can result in monetary fines or warnings from competitors. Details on this regulation can be found under the Federal Council of Germany (Bundesrat) or under the Federal Ministry of Justice (Bundesministerium der Justiz).
